Vacation requests
Leave requests are submitted to your line manager via the Zeus X time recording system after coordination with your teammates. More details in the information sheet on time recording.

Parking
WEDCO has a parking lot behind the company building. The parking card with your name must be clearly visible in your car. If you need a parking space, please contact the HR department.

Smoking on company premises
Smoking on the company premises is permitted within the designated zones. Please keep these areas clean. Smoking breaks are not counted as working hours and must therefore be checked out at the terminal.

Alarm system

The whole premises are protected by an alarm system. The alarm system is set up in a way, that it is routed to two mobile phone numbers when triggered. This means, that these numbers are selected by the alarm system in the order listed below (if the 1st number cannot be reached, then the 2nd, etc.).

Triggering a false alarm

If a false alarm is triggered, the following steps are mandatory, otherwise the chargeable police operation will be charged to the person responsible:

The telephone numbers are to be notified IMMEDIATELY in the sequence and to be informed about the false alarm.

Switch off the alarm immediately.

A notice with the telephone numbers is also on the respective control boxes in production and in the office.

Time recording system

When and how does the time recording system record working times?
Every day on arrival and when leaving the company, it must be checked in and out personally. Hold the chip at the time recording terminal at the warehouse or production entrance. Recording of working times in the field via the Zeus Mobile App or on the PC, home office – on the PC.

How are visits to the doctor / official channels recorded?
When leaving and returning from visits to the doctor / professional business channels must be checked in or out personally.

If you do not return to the company, because this is after the end of work, the system automatically posts the end of the shift with the defined end of working hours.

What happens if you forget to check in or check out?
Apply for a booking correction via „My Zeus“ on the PC or at the Hall 1 terminal. With the approval of the supervisor, the correction is carried out automatically in the system.

What happens if the chip is lost?
If the loss of the chip is noticed, it must be reported to the personnel office immediately.

A fee of € 5.00 has to be paid for the new chip including new programming.
No fee will be charged in the event of theft including notification of loss.

How are the break times taken into account?
It is stored in the system that if you work longer than six hours, 30 minutes or 45 minutes break will be automatically deducted. Independent check-in and check-out is not currently planned, but is possible.

How are vacation and sick days taken into account?
Apply for a booking correction via „My Zeus“ on the PC or at the Hall 1 terminal. With the approval of the supervisor, the correction is carried out automatically in the system.

General information – for urgent attention

The chips are issued in a personalized way. It is strictly forbidden to check in or check out with someone else’s chips. There are no exceptions to this. Immediate dismissal is given in the event of abuse .
The vacation recording (vacation entitlement / remaining vacation days) is managed via this time recording system, this guarantees 100% accuracy and verifiability.
The overview of the working hours is used on the one hand for the legal recording and on the other hand for the control of compliance with the agreed working hours.
It is pointed out that the agreed working hours must be adhered to (with the exception of vacation / sick leave / visit to the doctor). If this is not adhered to, e.g. due to frequent lateness, a warning can be issued.
The HR department is responsible for the time recording system. Please contact her at any time if you have any questions / malfunctions / comments.

Letter of agreement video surveillance

Your employer, WEDCO Handelsgesellschaft, Hermann-Gebauer-Straße 12, 1220 Vienna, has installed security surveillance for the premises because of security reasons (theft protection).

IT-Guidelines

1. Introduction
This IT guideline is intended to support the measures taken by the company to protect (personal) data from unauthorized access by third parties or unauthorized employees and also to provide basic information for all employees with regard to the handling of data.

2. Scope of application
This IT policy applies to all employees of our company. This includes all full-time and part-time employees, apprentices, trainees and temporary staff, etc. External persons who regularly work for the company are also obliged to comply with this policy. The company will take appropriate precautions to ensure that this policy is also binding for external persons.

3. Compliance with legal regulations
When using the company’s IT systems and applications, employees must comply with the applicable data protection and data security legislation and company regulations. If employees are unsure whether and to what extent legal provisions or company regulations must be complied with, they must contact their line manager for clarification.

4. Training
The company shall ensure that employees receive the necessary training and instructions/instructions required for the respective handling of the IT systems and/or applications.

5. General regulations
The use of IT systems and applications in the company is only permitted for business purposes and to the extent permitted for the fulfilment of tasks. Deviations from this require the express authorization of the employer, which must be given in writing.
The installation of software for private purposes is prohibited. Furthermore, only software that has been authorized by the employer or the IT department may be installed on the company’s IT systems. The use of private hardware and software for business purposes without the authorization of the employer is not permitted. This does not include setting up a company e-mail account on a mobile phone.

6. Workplace
The workplace must be designed by employees in such a way that visitors or customers (in the case of a sales representative) or other third parties cannot gain access to personal data without being authorised to do so. For example, offices must always be locked after leaving the workplace. When leaving the workstation PC, the respective employee must „log out“ so that authentication (username/password) is required before using the IT system and/or application(s) again.
In areas open to the public, the IT systems – particularly the screens – must be set up in such a way that the risk of visitors or third parties gaining knowledge of them is excluded as far as possible.
Information in paper form must be stored in such a way that visitors or other third parties cannot gain access to the data. Confidential information must always be kept under lock and key.

7. Use of PCs, laptops and terminal serversr
The work device (PC or laptop) must be shut down if it is not used for a longer period of time, e.g. at the end of the working day. In the case of laptops, care must be taken to ensure that they do not go into standby mode (e.g. closing the screen lid), but that the operating system is shut down completely. This is important to enable any pending software/hardware updates. All devices must be restarted by the user at least twice a week. The required programmes and user profiles are already pre-installed on the terminal server. Here too, the user logs off if the terminal is not used for a longer period of time, or at least daily. Simply closing the terminal window does not lead to logout. It should also be noted that updates are installed on all central devices every Friday, starting at 14:00. Users must therefore close all programmes by 14:00 on Friday and log out of the terminal server if necessary.

8. Password use
As far as technically possible, all IT systems and applications can only be used after the user has been sufficiently authenticated. Authentication is generally carried out by using the username/password combination. Unless there are operational or technical reasons to the contrary, the IT department will assign a username and password to each individual authorized user.
Passwords must have a minimum length of 10 characters. The password must be alphanumeric (letters and numbers/characters with special characters). Passwords are changed regularly by the IT department.

9. Protection against harmful content („threats“)
Protection programmes are used in the company to protect against harmful content. In particular, incoming e-mail communication is checked by the protection programmes used. This can also result in the deletion of emails and file attachments. In the event that an employee receives a suspicious e-mail with an unknown file attachment or link, for example, they are obliged to contact the IT department immediately. The unknown file attachment or link may only be opened after approval by the IT department.

10. Protection against unsolicited advertising („spam“)
So-called spam filters are used in the company to protect against unsolicited advertising by e-mail. The spam filter may result in e-mails being suppressed or deleted in individual cases. Employees should ensure that the corresponding sender addresses are saved in their e-mail address book, for example, if they wish to receive company e-mail newsletters, in order to avoid incorrect classifications.

11. Use of E-Mail/Internet
Unless expressly authorized by the company, e-mail and the Internet may only be used for business purposes.
Company e-mail addresses may only be used for business purposes. The registration of accounts or accesses with the company’s e-mail address that are not related to business activities is prohibited.

12. Behavior in the event of security incidents
If the employee realizes that the protection or security of data could be compromised in any way, they must contact the IT department and their line manager immediately. This applies in particular if the threat relates to personal data.

13. Instructions
Employees are obliged to follow the instructions of the IT department.

Declaration of commitment to data secrecy and the protection of business and trade secrets

In the course of your professional activity, you are likely to gain knowledge of personal data as well as business- and trade secrets. All this information is to be treated with absolute confidentiality and is subject to the provisions of Austrian and European data protection law and competition law.

With your signature you undertake to,

uphold data protection law, in particular § 6 DSG, including corresponding operational orders;
protect business and trade secrets (§ 11 UWG);
pay damages in the event of a breach of data secrecy or a breach of business- or trade secrets, regardless of the damage actually incurred, by agreeing a contractual penalty in the amount of four gross monthly fees.

The cited provisions are printed in the appendix to this declaration.

the personal data of natural and legal persons are subject to special protection and the use of such data is only permitted under special conditions;
personal data that have been entrusted to you or made accessible to you due to your professional activity may only be transmitted on the basis of an express order from the respective superior;
it is forbidden to transmit data to unauthorized recipients inside and outside the company or to make it accessible in any other way;
it is forbidden to obtain or process data without authorization;
it is forbidden to process personal data for any other purpose than that which is part of the lawful performance of the task;
entrusted user passwords, passwords and other access authorizations are carefully kept and kept secret;
any more far-reaching other provisions on confidentiality obligations must also be observed;
this obligation continues even after you have ceased to work;
violations of the confidentiality obligations mentioned here not only have consequences under labor law, but also (administrative) criminal law consequences and make you liable for damages.

You do not derive any rights (e.g. payment) from consent to publication. This declaration of consent can be revoked by the initiator at any time with effect for the future. Data secrecy according to § 6 DSG

The controller, the processor and their employees – these are employees (employees) and persons in an employee-like (employee-like) relationship – have personal data from data processing that have been entrusted to them or have become accessible solely on the basis of their professional employment, without prejudice other statutory confidentiality obligations, to be kept secret, unless there is a legally permissible reason for the transfer of the entrusted or accessible personal data (data secrecy).
Employees may only transmit personal data on the basis of an express order from their employer. Unless such an obligation on their employees already exists by law, the person responsible and the processor have to contractually oblige them to transmit personal data from data processing only on the basis of orders and to maintain data secrecy even after the end of the employment relationship (employment relationship) with the person responsible or processor .
The person responsible and the processor must instruct the employees affected by the order about the transfer orders applicable to them and about the consequences of a breach of data secrecy.
Without prejudice to the constitutional right to issue instructions, an employee may not suffer any disadvantage from refusing to comply with an order for inadmissible data transmission.
A statutory right to refuse to give evidence in favor of a person responsible may not be circumvented by making use of a processor working for this person, in particular not by securing or confiscating documents that are processed with automated assistance.

Security of processing according to Art. 32 Paragraph 4 GDPR

The controller and the processor take steps to ensure that natural persons under their control who have access to personal data only process them on the instructions of the controller, unless they are subject to the law of the Union or of the member states Processing obligated.

Violation of business or company secrets and misuse of entrusted templates according to § 11 UWG

Anyone who, as an employee of a company, shares business or company secrets that have been entrusted to him or her in some other way as a result of the employment relationship with others during the period of validity of the employment relationship for the purposes of competition is subject to a prison sentence of up to three months or a fine by the court to punish up to 180 daily rates. (Federal Law Gazette No. 120/1980, Art. I Z 6)
The same penalty applies to anyone who uses or has unauthorized use of business or trade secrets, knowledge of which he has obtained through one of the communications referred to in paragraph 1 or through an act that violates the law or morality, for purposes of competition communicates to others.
The persecution only takes place at the request of the injured party.
